Overview:
Here at Oxwich Search (company registration number: 9668551) we take your privacy extremely seriously. As an executive search firm, we collect information to enable us to place candidates into front offices roles within the commodities space. Keeping your personal data safe is extremely important to us and we are committed to protecting the privacy of our candidates, clients and website users.
We collect and process information in accordance with the law and legitimate business purposes and make sure it is stored safely.
This privacy policy explains how we use your data, how we manage your data, what data we collect and as its your data, also explains your rights.
What information we collect:
The information we collect includes but is not limited to, your name, contact details and other information you present to us either via conversations with researchers and consultants, and/or information you provide through emails and documents (including Curriculum Vitae), market intel/information, and through third party websites such as LinkedIn, which may contain sensitive personal information.
As we do not run any analytics on our website we do not collate any data from you when you visit.
How and why we use your data:
We hold and process your data under the lawful basis of legitimate interest for the purpose of recruitment and consulting for the energy sector. We will use your data to maintain a relationship with you, whether you’re an existing candidate, client or market source, and/or for the potential of future recruitment discussions. We may also use your data for consulting/research purposes which may include, but not limited to, talent mapping/appraisals of the commodities markets (only information included would be information available publicly and/or market news).
What happens to your data:
We store your data in our secure and encrypted database, and we will store it for as long as we have a legitimate interest in retaining your data. We will review records every 5 years to ascertain whether we still have a legitimate interest in holding your data, but we aim and expect to have long standing relationships with candidates and clients. With your consent, we will share your personalised and sometimes sensitive data provided to clients, either to apply for an active open role or to make an introduction. We may also use publicly available data to map markets for clients in market reports and/or for internal reference.
With your consent we may also share your personal information with third parties if we are involved in obtaining documents for clients who you are involved in the recruitment process with or you have received an offer from. This may include but not limited to, references, medical exams, skills test and evaluations.
Your data may also be seen by those performing maintenance for our database and computers. These providers will be UK based companies and we require equally high standards of data protection from them as we deliver to you.
In some instances your data may be sent to those outside of the EEU, such as to clients based in global locations, and whilst they may not have the same level of data protection as the UK, we expect our clients to maintain the high level of privacy we deliver to you and to respect your data.
How do we keep you data safe:
We have a fully encrypted database and use a respected hardware and internet encryption package.
Your rights for your data:
You have the right to:
- Be informed: to understand why your data is being processed and who else will see it
- Access information: to see what data is being held about you
- Have your data rectified or deleted: to have your data amended or deleted also known as the right to be forgotten
- To restrict processing: to halt the processing of your data by us
- Data portability: to receive any personal information that we hold about you in a structured, commonly used and machine-readable format.
- To object: to stop processing of data if it is not being used for the purpose it was intended
- Automated decision making and profiling: to make sure your data is being decided by an automated process
You have the right to request access to the data we hold about you. Should you wish to do so, please contact us with your request by sending it in writing to info@oxwichsearch.com. We will require identification before releasing any data to you. Please note that we will need to hold data about you whilst we are processing the request.
These rights are subjected to limitations and exceptions, for instance when they involve the personal data of another party and we can refuse the right to provide your request or certain elements of your request, but if this is applicable, we will discuss this with you and provide our reasoning.
Ongoing:
We reserve the right to make changes to this policy and we will review our policies to make sure they are up to date. Our staff also receive ongoing training in data protection and keeping data safe.
